AI Receptionist: Definition, What It Does and Limits
Definition
Vendors use the term "AI receptionist" for software that answers a business's phone calls, handles front-desk tasks such as answering common questions, capturing lead details and booking appointments, and transfers the caller to a person when needed. Some vendors also sell hybrid versions backed by human staff.
Key points
- RingCentral describes its AI receptionist as answering calls and texts, responding to common questions, routing callers, capturing lead details, booking and confirming appointments, and sending follow-up texts. Goodcall and Smith.ai list similar tasks.
- Vendors define it against other ways of handling calls. Ruby, whose receptionists are human, says basic call answering may end with taking a caller's information or passing along a message. RingCentral contrasts its AI receptionist with sending callers through a phone menu or to voicemail. See IVR.
- The vocabulary is loose: Ruby sells human "virtual receptionists" with AI behind the scenes, Goodcall presents itself as both an AI answering service and a receptionist, and Smith.ai offers AI-first, hybrid and human-first services.
How it works
RingCentral says the setup starts from your business information, such as a website, FAQs, hours and policies. On a call, the software listens to the caller's own words, works out the request and answers from what it knows. RingCentral says it can act: book an appointment, log a lead in a CRM or send a text. When a caller needs a person, it transfers the call with a summary; Goodcall's default is a transfer to the business line, with options for a message or a callback. The speech layer is described in voice AI agent.
Pitfalls and limits
- Answers depend on what you supply. Models can state errors confidently, which NIST calls confabulation; the Air Canada and Cursor cases are in customer service AI agents.
- Human backup may cost extra. Smith.ai says AI-initiated escalations carry no fee, while live-agent involvement is a per-call add-on. Compare terms in AI receptionist cost.
- Callers must be told. Under Article 50(1) of the EU AI Act, applicable from August 2, 2026, providers must design systems that interact directly with people so that users are informed they are dealing with an AI, unless this is obvious. This is not legal advice.
